Recommendation:  That the Common Council approve the request of the Information Technology Manager to hire a part time 600-hour per year Clerical Assistant.

 

Background:  The Information Technology Department is requesting the addition of one (1) part-time 600-hr per year clerical position to handle clerical tasks related to inventory and software licensing, and to assist with initial hardware set-up of new PC’s.

 

As the City’s IT needs have grown, the IT department staff has less time to spend on the routine tasks that are required, often resulting in delays in reporting, recording and

tracking.  Having this part-time employee will allow the regular IT staff to keep attention on the more complex and demanding tasks related to the city’s data processing.

This part-time employee’s assignment would be, first, to monitor and record changes to the IT department inventory, including departmental reviews when needed; inventory control is important for audit and insurance purposes as well as for loss control.

Secondly, this employee would handle the proper recording and renewal review of licensing agreements; tracking of licensing is important to prevent any legal difficulties with software providers.  Thirdly, this employee would assist with the initial set-up of new PC’s before they are assigned to City staff and before they are programmed; it is important that the initial setup of PC’s is done correctly, and, while many setups are not complex, they can be time-consuming.

 

This request was recommended by the Personnel Committee and approved by the Council as part of the 2007 budget, and is now ready for final Council consideration before beginning the hiring process.

 

Fiscal Impact:  The 2007 approved budget for the IT Department includes $6,480 in part-time salaries for this position.
