Recommendation: That the Common Council consider a motion to award a contract to Gordon Flesch Company Inc. for the purchase of a Canon IR3045i black and white copier in the amount of $10,172.00 for the Parks, Recreation and Forestry main office.
Background:
The existing Sharp AR-405 copier has been discontinued and replacement parts are difficult to obtain or are salvaged parts. Replacing the Sharp AR-405 would result in a cost savings as the newer machine has lower maintenance charges. They would be approximately $3,050 per year less than our current contract (assuming the # of copies per year stays the same). The copier being recommended is a digital copier with collating, stapling, printing, and networking capabilities. The existing Sharp copier (purchased in 2000) has needed many service calls in the past several years. Service from Office Copying Equipment, Ltd. for the existing copier has been dismal. Canon copiers in the City have been very reliable and produced quality copies on a consistent basis. Gordon Flesch Co. has been doing an excellent job of servicing the city copiers. The old copier would be scrapped.
The copier was not bid locally, as the City was able to purchase off the state government bid contract which resulted in a considerable cost savings.
Fiscal Impact: Funding in the amount of $9,000 for this project was included in the 2008 CIEP; the remainder needed of $1,172.00 would be taken from the 2007 Parks, Recreation and Forestry operating budget, Account # 90460-Minor Equipment.
