Recommendation: That the Common Council consider a motion to award a contract to Gordon Flesch Company Inc. for the purchase of a Canon IR3045i black and white copier in the amount of $10,172 for the Fire Station #3 administrative office.
Background: The existing Sharp SF-2030 copier has been discontinued and replacement parts are difficult to obtain with only salvaged parts available. Replacing the Sharp SF-2030 would result in a cost savings as the newer machine has lower maintenance charges. They would be approximately $1,000 per year less than the current contract. The copier being recommended is a digital copier with collating, stapling, printing, and networking capabilities. The existing Sharp copier (purchase in 1999) has needed many service calls in the past several years.
Canon copiers in the City have been very reliable and produced quality copies on a consistent basis. Gordon Flesch Company has been doing an excellent job of servicing the City copiers. The old copier would be scrapped.
The copier was not bid locally, as the City was able to purchase off the state government bid contract which resulted in a considerable cost savings.
Fiscal Impact: Funding in the amount of $10,000 for this project was included in the 2008 CIEP; the remainder needed of $172 would be taken from the 2007 Fire Department Minor Equipment account #460 budget.
