Recommendation: That the Common Council approve the purchase of one Canon 5000 black and white copier from Gordon Flesch Company, Inc., in the amount of $13,298; the purchase of one Lanier 5627 black and white copier/fax machine from Lanier Worldwide, Inc., in the amount of $6,277; and the purchase of one Lanier 5627 black and white copier from Lanier Worldwide, Inc., in the amount of $5,495.
Background: The new police station construction project included a budget for copy machines. Four separate major copy equipment vendors were solicited with state contract pricing received from each. Each machine was reviewed with comparisons made on cost, capabilities, size, features and networking options. The above machines were selected based upon these comparisons.
Fiscal Impact: The cost for the purchase of the above three machines is $25,070. First-year maintenance agreements—which includes service, toner, drum, developer and staples—on the two Lanier machines is $600. Therefore, the total fiscal impact will be $25,670. This is $9,500 below the originally estimated purchase cost. These monies were included in the police station construction project #01006.
